The Austin City Council formally authorized The Office of City Clerk (OCC) on June 23, 1876. The City Clerk is traditionally associated with municipal elections and supporting the City Council by recording and preparing Council meeting minutes and registering citizen speakers, but also serves additional functions for the City of Austin. The OCC is the official depository of official records including ordinances, resolutions, deeds, easements, liens, bonds, contracts with the city, and records of the City Council. It retains and distributes official Council documents, prepares citizen recognitions, registers lobbyists, provides the city approval portion of the State Alcoholic Beverage Permit process, and coordinates appointments to City boards and commissions. The OCC manages documents for all City Departments, consulting and training City departments on records management systems, policies, standards, and guidelines as well as inventorying, transferring, storing, retrieving, and retaining records from City departments according to State law.

The Austin City Clerk Records (1860-1998) contains 21 linear feet of materials of civic and historic interest in multiple formats including printed and handwritten materials, letters, correspondence, legal and financial documents, and schematics. The bulk of the collection is comprised of printed materials (approximately 15 linear feet) with a significant number of records pertaining to the Austin Dam/Lower Colorado River Authority (1901-1957; 1.6 linear feet) and Urban Transportation (1981-1987; 2.8 linear feet). Much of the material found in this collection came from other city departments and gathered by the City Clerk's Office either prior to or in the early stages of the City of Austin's current records management policies and procedures.

Kennedy Day, November 21, 1963, and a proclamation for a Day of Mourning for John F. Kennedy, November 23, 1963. |

There is correspondence and diagrams devoted to a parcel of land along 19th and East Avenue divided among the Dawson subdivision and the Forster, Ludlow and Leo subdivisions and their abutment with a cemetery. There is a signed original Historical Commission Ordinance and miscellaneous Zoning change documents for Block 129 bounded by 10th/11th and Rio Grande/Nueces in 1946. |

This series includes three sub-series: Austin Dam, Records of the City Manager, and General Correspondence. The Austin Dam sub-series (1901-1957) includes records relating to the Dam Contract. The Correspondence sub-series had two main date ranges: (1937- 1966) and (1993-1998). Generally the later period contains legal documents and correspondence between the Council and the Major. This also includes City Council meeting minutes (1937-1938), correspondence (1966), letters (1942-1945), and reports (1917-1952). The City Manager sub-series contains records from 1997-1998 including a citywide development review. |

Office of the City Clerk Series, 1862-1993 |
|
Although the Austin City Clerk (1860-1998) contains a large number of records, these records represent selected materials from various city offices and projects and do not represent the total number of City Clerk records for this time period. In addition to these gaps in the records, the City Clerk's office used different organizational methods for records pertaining to a city office or a city project. For example, records from the City Council office are found within the City Council series or within a city project such as the Bergstrom Air Force Base or the Robert Mueller Airport subseries. As the original order of these records reflects the intent of the City Clerk office and provides a consistent arrangement for the city project records, this order is largely preserved in the current arrangement. As a result, records emanating from a city office may be found among several different series or subseries. The Austin City Clerk contains the majority of materials in the Austin City Clerk collection. |

Urban Transportation Series, 1969-1987 |
|
The Urban Transportation Department series contains a significant body of materials in a variety of forms including printed material, handwritten notes, slides, Polaroid, and schematics. Materials include legal correspondence (1982), memoranda and agendas (1984), reports (1970--1987) and a variety of other printed and handwritten material. Street schematics are also included. Well documented are the 1st/3rd Street Alternative Alignments Analysis (1981-1984) and the Downtown Urban Design Task Force (1985-1986) and other projects relating to the development of transportation systems (1969-1987), roadways (1981-1985), and other urban development (1984 - 1987). Examples include the development of Riverside Drive (1983-1985), Parmer Lane (1984-1985), the Lakeline Development Project (1986), and Capitol Metro (1985-1986). |
