EndNote FAQ



What is an EndNote Library?
An EndNote library is a collection of references, each containing the information required to create a bibliography. The references may also include supplemental information such as keywords, abstracts, notes, and URLs. Rather than creating a new library for each project, we recommend that you create one larger library. With one larger library you can use the Label, Keyword or Notes fields, together with the searching and sorting capabilities of EndNote, to help you organize and categorize your references.

How do I get started on EndNote?
  1. Start a new library:
    1. Launch EndNote.
    2. From the File Menu, select Create a New EndNote Library.
    3. From the New Reference Library menu box, browse to the folder where you want to save the library.
    4. Enter an appropriate file name.
    5. Click Save and your new library opens with no references.
  2. Create a new reference:
    1. From the References Menu, select New Reference.
    2. In the New Reference window, select the appropriate Reference Type from the drop down menu.
      Note: There are over 20 Reference types available. As an advanced option, custom reference types can be created.
    3. Notice that the New Reference template changes according to the Reference Type selected.
    4. Fill in the template. Use the Tab key to move between fields.
  3. Formatting:
    1. Author names: Enter either "last name, first name" (eg., Shakespeare, William) OR "first name last name" (William Shakespeare).
    2. Multiple authors: Put multiple authors on separate lines.
    3. Multiple keywords: Separate with semicolon(;), backslash (\) or returns.
    4. Volume: Use the number only, without an abbreviation.
      Example: For volume 6, enter 6, NOT vol. 6.
    5. When finished, close the reference by using ctrl-W, the X close button, or File>Close Reference.
    6. Your new reference will appear in the list of references.

How do I use EndNote with Library databases?
Different databases work differently with EndNote. Some allow direct export to EndNote (such as Web of Science, and Ebsco Databases), while others may require additional steps (for example the databases from Cambridge Scientific Abstracts including LLBA, Sociological Abstracts, Index Islamicus and PAIS International) and OCLC World CAT) . The following are instructions for these using the INTERNET EXPLORER browser.

Web of Science (Social Sciences Citation Index, Science Citation Index, Arts and Humanities Citation Index)

  1. Open Web of Science from http://www.lib.utexas.edu/indexes/titles.html?id=370 and perform a search.
  2. Select results by clicking the checkboxes to the left of each result.
  3. Click "Add to Marked List" found to the right of the results. (Be sure to submit marks before leaving each page of results.).
  4. From the main tool bar at the top, select Marked List.
  5. On the Marked List page select the fields to include.
  6. In Step 2 "Select an Option" choose Export to Reference Software.
  7. EndNote is launched automatically if it is not already open.
  8. A new dialog box launches called Select a Reference Library. From it select the EndNote library where you want to add these references and click Open.
  9. The Library will open with the new references showing and an audit at the bottom of the window indicating "showing n out of x references".
  10. To finish, go to References Menu and select Show All References. This incorporates the new references with ones which were already in the library.
EbscoHost Research Databases ( including Academic Search Premiere, ERIC, Gender Studies Database, PsycInfo )
  1. Select and EBSCO database and perform your search.
  2. Select results by clicking on the folder icon next to each result. They will then be added to your folder of results.
  3. Click on the link to the right and above the search results "Folder has items" or on the "Folder" link at the top right of the screen.
  4. On the Folder List screen, select "Save".
  5. On the Save Manager screen, click the Bibliographic Manager tab.
  6. From the Save Manager Screen with the Bibliographic Manager tab to the front, click the radio button labeled "Citations in Direct Export format": it appears as the middle choice of three radio buttons uder "Include When Saving" at the right side of the screen.
  7. Click the SAVE button.
  8. A dialogue box opens asking you to select a Reference Library ; navigate to the desired Endnote Library to which you wish to add these citations.
  9. Click Open.
  10. The citation are now added to your selected Endnote Library.
  11. To finish, go to References Menu and select Show All References. This incorporates the new references with ones which were already in the library.
  12. Some imports may not be 100% accurate. Review the records and make any minor manual fixes.
Cambridge Scientific Abstracts Databases ( including Francis, Index Islamicus, Linguistics and Language Behavior Abstracts, PAIS International, Social Services Abstracts, Sociological Abstracts )
  1. Select a CSA database, such as LLBA, and perform your search.
  2. Select results by clicking in the box to the left of each result. Click Update Marked List when you are finished.
  3. Click the Save, Print, or Email link.
  4. Toward the bottom of the options offered, click Save: File Format PC.
  5. A dialog box appears asking "Do you want to open or save this file?" Click Save and name the file.
  6. Open your Endnote program and open an Endnote library where you want your citations to be imported.
  7. From the top Endnote menu, select File > Import. A new dialog box appears prompting you to select the file to import.
  8. Locate the file you saved to your PC with the citations marked. Click it.
  9. The 2nd choice in the dialog box is Import Option, immediately below Choose File. Use the dropdown menu to select the appropriate filter -- for LLBA it is LLBA(CSA).
  10. Click "Import" and the citations should appear in your Endnote library.
  11. To finish, go to References Menu and select Show All References. This incorporates the new references with ones which were already in the library.
  12. Some imports may not be 100% accurate. Review the records and make any minor manual fixes.
OCLC WorldCAT (useful for importing citations to books found in the UT Library Catalog, which does not interface with Endnote, as well as any other materials selected.)
  1. Choose OCLCWorldCAT and perform your search.
  2. Select results by clicking in the box to the left of each result. Click the Marked Records button.
  3. Click the Export button.
  4. Export to Endnote radio button should be clicked. Click the EXPORT button.
  5. A dialog box appears asking "Do you want to open or save this file?" Click Open.
  6. A dialog box appears prompting you to select a Endnote Library. Click the desired Endnote Library then click Open.
  7. A Choose Import Filter dialog box appears. Scroll toward the end of the options listed and find WorldCat (OCLC). Click it and then CHOOSE.
  8. The marked records are imported into your selected Endnote Library.
  9. To finish, go to References Menu and select Show All References. This incorporates the new references with ones which were already in the library.
  10. Some imports may not be 100% accurate. Review the records and make any minor manual fixes.
How do I use EndNote with GoogleScholar?
  1. From the GoogleScholar search page, click on the Scholar Preferences link to the right of the Scholar search box.
  2. Scroll to the bottom of the Scholar Preferences page, and in the 'Bibliography Manager' section, click the radio button next to 'Show link to import citations into' and choose EndNote.
  3. Click the "Save Preferences" button.
  4. When you search GoogleScholar, you will see “Import into EndNote” as an option under each citation.
How do I use EndNote with Microsoft Word to create a bibliography?
  1. In the style selection window of EndNote, choose Select Another Style from the drop-down menu.
  2. Browse in the Choose a Style window for the appropriate style.
  3. Highlight the style name and click Choose.
  4. Open Word to a new, blank document.
  5. In the Tools Menu, notice the additional EndNote tools. EndNote works as an add-in to Word.
    Note: If the EndNote toolbar is not showing, look under the View menu, select Toolbars, then select EndNote.
  6. Start typing a new document.
  7. At the location where you need your first reference, click the EndNote icon in the EndNote toolbar to return to EndNote and find your citation.
    Note: You may also search for your citation in EndNote by using the Find Citation button - the magnifying glass - on the EndNote toolbar.
  8. In your EndNote library, single click on the appropriate reference to highlight it, then click the Insert Citation button Insert Citation button in EndNote.
  9. You are returned to Word with the reference inserted in your text and the bibliography beginning to form below your text.
How do I change to a different bibliography style?
To reformat your bibliography while you are working in Word:
  1. Use the Format Bibliography button Format Bibliography button in EndNote from your EndNote toolbar.
  2. From the EndNote Format Bibliography window, select the tab for Format Bibliography.
  3. In the output style selection box, scroll to the desired style, or Browse to select a new style.
  4. Click OK. The EndNote Format Bibliography window will close and your bibliography and the references in your text will reformat.
Can I use the Connection files?
Here at UT, you cannot use the EndNote Connection files for our subscription databases. Instead, you will need to either use the exporting feature of the database or the importing features of EndNote to add the references to your EndNote library. Instructions are available above under "How do I Use EndNote with Library databases?". You may use the EndNote Connection files with publicly available databases on the Web, such as PubMed. You can determine which databases are publicly available by looking for the world icon [globe] on the database page.

What are the EndNote filters?
When using databases that do not have an export function, you will use the Import command to import text files of references into an EndNote library. Importing requires that you use filters. Filters exist which correspond to various databases and the vendors that provide them. For instructions on how to import from a database using a filter, see the Academic Search Premier example under "How do I Use EndNote with Library databases?".

Can I use EndNote with the UT thesis/dissertation template?
You can use EndNote within any Word document. To learn more about the dissertation template, contact ITS Training.

How can I use EndNote with *free* resources such as PubMED using the library's EZProxy?
* Use the standard Connection File to connect to PubMED and complete your search
* Click on Copy All References To (or Copy Selected References To) and select the EndNote library
* You will see the new references added to the library (all the new references are selected)
* Go immediately to the References menu and pick Show Selected References
* With just the Selected References showing (the new group just loaded from PubMED), go to References menu and select Change and Move Fields
* In Change and Move Fields, do the following:
    a. select URL
    b. select Insert before field's text
    c. uncheck "include a space after the new text"
    d. insert the new text: http://ezproxy.lib.utexas.edu/login?url=
This will add the EZProxy prefix to the PubMED URL so that anytime you use the URL from EndNote, you will go in to PubMED with the proxy in place and you will be able to link through to UT's full-text holdings.

Does downloading references from databases work with Macintosh?
Yes, EndNote for Macintosh has the same capabilities to work with our databases. It will work most reliably and smoothly if you use Firefox as your browser. The first time you export references from a database you will need to setup EndNote as the application to open the downloaded references.
